PRIVACY POLICY
Wan Da Nya Co., Ltd. (the “Company”) handles personal information and other information relating to users obtained in connection with websites, applications, animal transfer and transportation services, international transportation, quarantine and import/export assistance, platform services, and all other services operated or provided by the Company (collectively, the “Services”) in accordance with Japan’s Act on the Protection of Personal Information and other applicable laws and regulations, as set forth below.
Article 1 (Application)
1.This Privacy Policy (the “Policy”) applies to the handling by the Company of personal information and other information relating to users that the Company obtains in connection with the Services. 2.Matters not provided for in this Policy shall be governed by the Act on the Protection of Personal Information and other applicable laws and regulations. 3.Where Registered Providers, airlines, carriers, customs brokers, veterinary hospitals, payment service providers, overseas agents or other third parties independently collect personal information through or in connection with the Services and process such information for their own purposes, the privacy policies and other terms established by such third parties may apply.
Article 2 (Information We Collect)
In connection with the provision of the Services, the Company may collect the following information: 1.Information relating to Users Name, phonetic spelling of name, date of birth, address, telephone number, email address, affiliated corporation or organization, department, position, and other information necessary to identify or contact the User. 2.Account Information User ID, account ID, login information, authentication information, registered language, account settings, and other information necessary for account management. 3.Reservation, Application and Transaction Information Reservation number, application details, service date and time, place of departure, destination, transit points, services used, fees, quotation details, payment status, cancellation and change history, inquiry history, contractual details, and other transaction-related information. 4.Information Relating to Animals Animal name, species, breed, sex, age, date of birth, weight, microchip number, health condition, medical history, medication status, vaccination and testing status, temperament, aggression, history of biting, risk of escape, pregnancy status, photographs, and other information necessary for safe transportation, quarantine, import/export procedures, or provision of the Services. 5.Information Relating to International Transportation, Quarantine and Import/Export Procedures Destination country or region, travel date, flight information, itinerary, quarantine status, certificates required for import or export, information relating to permits and approvals, microchip information, vaccination and testing records, information required by airlines or governmental authorities, and other information necessary for international transportation and related procedures. 6.Identity Verification and Travel Information Depending on the nature of the Service, the Company may collect identification documents, passport information, and other information necessary for identity verification, travel, import/export procedures, quarantine, or other required procedures. 7.Payment Information Payment method, payment status, transaction number, billing and refund information, and other payment-related information. The Company may not directly retain credit card numbers or other information that is collected and managed directly by a payment service provider. 8.Inquiry and Communication Information Emails, chats, messages, inquiry details, communication history with the Company, customer support history, and other information relating to communications with the Company. 9.Service Usage and Device Information IP address, cookies, device information, browser information, operating system, access date and time, pages viewed, operation history, logs, referrer information, and other information relating to use of the Services. 10.Location Information Where necessary for the functionality of the Services, dispatch operations, transportation status management, safety management or other purposes, the Company may collect location information relating to Users, vehicles, drivers or other devices associated with the Services. 11.Other Information Other information provided by Users to the Company and information necessary for the provision of the Services, safety management, identity verification, or compliance with applicable laws and regulations.
Article 3 (Methods of Collecting Information)
The Company may collect information through the following methods: 1.Information provided directly by Users through websites, applications, application forms, email, chat, telephone or other methods. 2.Information automatically collected by systems in connection with the use of the Services. 3.Information obtained from Registered Providers, airlines, carriers, governmental authorities, quarantine authorities, customs authorities, customs brokers, veterinary hospitals, payment service providers, overseas agents or other third parties with the User’s consent or to the extent otherwise permitted by applicable law. 4.Other lawful and fair methods.
Article 4 (Purposes of Use)
The Company may use information it collects to the extent necessary for the following purposes: 1.To provide, accept applications for, reserve, contract for and manage the Services, including transportation services. 2.To verify and authenticate Users and manage accounts. 3.To ensure the safe transportation and handling of animals and to manage their health and safety. 4.To provide, arrange or manage domestic and international animal transportation, air transportation, air cargo transportation, hand-carry services and other transportation services. 5.To provide procedures, guidance, arrangements or assistance relating to animal quarantine, import/export, customs clearance, international relocation and other required procedures. 6.To communicate and share information with, make reservations and arrangements with, and coordinate with airlines, carriers, customs brokers, veterinary hospitals, governmental authorities, quarantine authorities, customs authorities, overseas agents, Registered Providers and other relevant parties. 7.To process billing, payments, refunds, accounting and other transaction management. 8.To respond to inquiries, consultations, complaints, accidents and other matters involving Users. 9.To verify, investigate, record and respond to accidents, incidents, near misses and other safety-related events, and to prevent recurrence. 10.To improve the quality and safety of the Services, make improvements, plan and develop new services, and analyze use of the Services. 11.To prevent, detect and respond to fraudulent use, unauthorized access, violations of terms and other improper use. 12.To operate and maintain systems, respond to failures, ensure security and address technical issues. 13.To provide important notices, reservation, transportation and transaction notifications, and other communications necessary for provision of the Services. 14.To provide information regarding the Company’s products, services, campaigns and other offerings. Where consent is required by applicable law, the Company shall obtain the required consent before doing so. 15.To comply with legal obligations, respond to governmental or other public authorities, resolve disputes and claims, and protect the rights and interests of the Company or third parties. 16.For purposes incidental or related to any of the foregoing.
Article 5 (Provision to Third Parties)
1.The Company shall not provide personal data to third parties except in any of the following circumstances: (1) Where the individual has given consent; (2) Where required or permitted by law; (3) Where necessary to protect the life, body or property of a person and it is difficult to obtain the individual’s consent; (4) Where necessary for the improvement of public health or in other circumstances permitted by law; (5) Where cooperation with national or local governmental authorities or other public bodies is required by law; or (6) In any other circumstances where provision to third parties is permitted under the Act on the Protection of Personal Information or other applicable laws and regulations. 2.Where necessary for the provision of the Services, the Company may, with the User’s consent or to the extent otherwise permitted by applicable law, provide necessary information to the following parties: (1) Registered Providers; (2) Airlines and other carriers; (3) Quarantine authorities, customs authorities and other governmental authorities; (4) Customs brokers; (5) Veterinary hospitals and other medical or animal-related institutions; (6) Payment service providers; (7) Overseas agents and other overseas service providers; (8) Licensed professionals and other specialists; and (9) Other third parties necessary for the provision of the Services. 3.When providing information to a third party, the Company shall endeavor to limit such provision to the extent necessary for the provision of the Services or other relevant purposes.
Article 6 (Information Sharing in Platform Services)
1.Where necessary to make reservations, enter into contracts, provide transportation or otherwise provide services between Users and Registered Providers through the Platform Service, the Company may share necessary information relating to Users and Registered Providers between the relevant parties. 2.Where a Registered Provider independently processes personal information provided pursuant to the preceding paragraph in its capacity as the provider of its own services, the Registered Provider shall process such information at its own responsibility and in accordance with applicable law. 3.The Company may require Registered Providers to comply with the Company’s information management standards and other requirements concerning the appropriate handling of personal information.
Article 7 (Provision to Third Parties Located Outside Japan)
1.Where necessary for international transportation, overseas relocation assistance, import/export procedures, quarantine, air transportation or other Services, the Company may provide a User’s personal information to airlines, overseas agents, governmental authorities, carriers or other third parties located outside Japan. 2.When providing personal data to a third party located outside Japan, the Company shall, in accordance with the Act on the Protection of Personal Information and other applicable laws and regulations, obtain the individual’s consent, provide required information, or take any other measures required by law. 3.Where required by applicable law, the Company shall provide Users with information concerning the personal information protection system of the country or region in which the recipient is located and other legally required information.
Article 8 (Outsourcing)
1.The Company may outsource system operations, cloud services, payment processing, email delivery, customer support, data analysis and other operations to third parties to the extent necessary to achieve the purposes of use. 2.Where the Company entrusts a third party with the processing of personal data, the Company shall appropriately select and supervise the service provider in accordance with applicable law.
Article 9 (Cookies and Similar Technologies)
1.The Company’s websites and applications may use cookies, local storage and other similar technologies. 2.Such technologies may be used to maintain login status, store language settings and other User preferences, ensure security, understand usage of the Services, improve the Services, and otherwise provide and operate the Services. 3.Users may be able to disable cookies through their browser or device settings. However, disabling cookies or similar technologies may prevent Users from using certain functions of the Services. 4.Where the Company uses analytics, advertising or other third-party services, such third parties may collect information using cookies or similar technologies. Details will be displayed through the Services where necessary.
Article 10 (Location Information)
1.The Company may collect or use location information where necessary for dispatch operations, monitoring transportation status, safety management, calculating estimated arrival times or otherwise providing the Services. 2.Where permission from the User is required through device or other settings to collect location information, the Company shall collect such location information based on the permission granted. 3.Users may be able to stop providing location information through their device settings. However, doing so may prevent Users from using certain functions of the Services.
Article 11 (Security Measures)
1.The Company shall implement necessary and appropriate organizational, personnel, physical and technical security measures to prevent leakage, loss or damage of personal data and otherwise ensure the security of personal data. 2.The Company shall exercise necessary and appropriate supervision over persons handling personal data and service providers entrusted with such data. 3.Where a personal information incident or other issue occurs, the Company shall, in accordance with applicable law, conduct necessary investigations, take corrective measures, notify affected individuals, report to the Personal Information Protection Commission of Japan or other relevant authorities, and take other necessary measures.
Article 12 (Retention Period)
1.The Company may retain personal information and other information for the period necessary to achieve the purposes of use, for periods required by law, for periods necessary to maintain records relating to contracts, transactions, transportation, accounting and other matters, or for periods necessary for dispute resolution or other legitimate purposes. 2.Even after an account has been deleted or use of the Services has ended, the Company may retain information for the period necessary to comply with legal retention obligations, maintain transaction records, ensure safety, respond to accidents or disputes, or pursue other legitimate purposes. 3.Where information is no longer required to be retained, the Company shall endeavor to delete or anonymize such information by an appropriate method, unless retention is required by law or for another legitimate reason.
Article 13 (Disclosure, Correction, Suspension of Use and Other Requests)
1.In accordance with the Act on the Protection of Personal Information and other applicable laws and regulations, an individual may request notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use, erasure, suspension of provision to third parties or other actions permitted by law with respect to retained personal data concerning that individual held by the Company. 2.A person wishing to make a request under the preceding paragraph shall contact the inquiry point specified in Article 17. 3.The Company shall respond in accordance with applicable law after verifying that the person making the request is the individual concerned or a duly authorized representative. 4.Where the Company is not legally required to comply with a request, the Company may decline all or part of such request.
Article 14 (Information Relating to Minors)
Where a minor uses the Services and provides personal information, the minor shall obtain the consent of a parent, guardian or other legal representative before using the Services where such consent is required by applicable law.
Article 15 (External Services and Links)
The Services may contain links to or integration features with websites, services, payment services or other external services operated by third parties. Personal information and other information independently collected by such third parties shall be handled in accordance with the privacy policies and other terms established by the relevant third parties.
Article 16 (Amendments to This Policy)
1.The Company may amend this Policy where reasonably necessary due to amendments to laws and regulations, changes to the Services, changes in the methods by which personal information is handled, or other circumstances, in accordance with applicable law. 2.When amending this Policy, the Company shall notify Users of the contents of the amended Policy and its effective date by posting them on the Company’s website or application or by another appropriate method. 3.The amended Policy shall apply from the effective date announced pursuant to the preceding paragraph. 4.Where the individual’s consent to an amendment is required by applicable law, the Company shall obtain the required consent in the manner prescribed by the Company.
Article 17 (Contact for Privacy Inquiries)
1.Inquiries concerning this Policy, the handling of personal information or other information relating to Users, requests for disclosure, correction, suspension of use or other matters concerning personal information shall be submitted to the contact point displayed by the Company on the relevant service website, application or by another method designated by the Company. 2.For requests or inquiries concerning personal information, the Company may require identification documents or other information necessary to verify that the person making the request is the individual concerned or a duly authorized representative. 3.Where the Company charges a fee for disclosure or other requests, the Company shall separately provide information concerning the amount and payment method to the extent permitted by applicable law.

Article 19 (Governing Law)
This Policy and the Company’s handling of personal information and other information relating to Users shall be governed by the laws of Japan.
However, where laws or regulations outside Japan mandatorily apply to the provision of personal information to third parties located outside Japan or to other processing of personal information, the Company shall take the measures required under such applicable laws and regulations.
